How to register as an employer with the IRD when you're new to employing staff

Hiring your first employee is a significant milestone for any business! To meet your legal obligations and ensure your payroll runs smoothly, you must register as an employer with Inland Revenue (IRD) as when you start paying employees.

You need to be registered as an employer before we can act as your PAYE intermediary.

You must register as an employer if you are paying any employees. You also need to register if you are paying contractors schedular payments (with withholding tax deducted and filed).

How to register as an employer with IRD

Before you begin the registration process, make sure you have the following details ready:

  • The IRD number to be registered (business or personal)

  • Your contact and bank account details

  • Your business industry classification (BIC) code

  • The date you start employing staff

The easiest way to register is online through your myIR account.

  1. Log in to myIR or register for an account if you do not have one.

  2. Go to the 'I want to...' menu.

  3. Select 'Register for new tax accounts' under 'Registration, applications and enrolment'.

  4. Complete the registration form with your details (contact, address, bank, BIC code, employment details).

  5. Review and submit your registration.

💡 The IRD number you are using to register as an employer must match the one you are providing to PaySauce to use for your payroll. Please ensure you give the PaySauce team the correct IRD number that you have used to register as an employer.

If you do not have access to myIR

If you do not have access to a myIR account, you can download and print the Employer registration (IR334) form from the IRD website.

What Happens Next

After you’ve registered, IRD will send you a letter confirming your registration and providing information about your employer responsibilities, including:

  • Keeping wage and employment records

  • Making deductions from PAYE income paid to employees and contractors

  • Filing employer returns

  • Paying deductions to IRD

How to check if you are registered as an employer

If you're not sure if you are already registered, you can check by logging into your myIR account.

  1. Log into your myIR account: This is the online portal where you manage your tax and business-related information with the IRD.

  2. Look for the EMP (Employer) tax type: If you are registered as an employer, you will see an EMP (payroll) tax type listed in your myIR account. This tax type is created once you complete your employer registration with the IRD.
