PaySauce requires each email address to be associated with only one user account at a time. That includes:
employee accounts in different companies
different roles for the same company or companies (for example, a manager account and an employee account)
This means:
Employees cannot use the same email address with multiple employers simultaneously
If an employee has left an employer, their email remains tied to that previous account until removed
If you see the message ‘email already in use’ it means that email account has already been used with a PaySauce account. We can either remove the email from an account if it is no longer required, or you can follow the instructions below to use an alternative.
This article explains how to manage your email addresses when working with multiple accounts or switching between employers.
Left one employer, now with another
If your employee has left a previous employer and needs to use the same email address with you, please contact our support team. We can remove the employee’s email address from the previous employer's account so it can be re-used.
Working for multiple employers
If your employee is working for multiple employers using PaySauce simultaneously, they’ll need to use different email addresses for each account. The easiest way to do this is by using email aliases, which we cover below. If your employee’s email provider doesn’t support aliases, they’ll need to provide two different emails in some other way. Most common email providers support aliases.
Multiple user accounts
Some users may need to have multiple PaySauce accounts for different roles - for example, an employee account and a manager account. These accounts have different permission levels and are registered separately, and each requires a unique email.
We recommend using the email alias or ‘plus addressing’ method described in this article.
If someone requires multiple user accounts (i.e. an employee and a manager account, or multiple employer accounts) it is possible for these to be linked in the PaySauce app. This allows for switching accounts without needing to log in and out each time. Check out instructions for linking accounts here: Linking accounts
Email aliases: one address, multiple accounts
Email aliases allow you to create multiple email addresses that all deliver to the same inbox. This means you can have separate emails for each user account in PaySauce while still receiving the emails to the normal email account.
'Plus addressing'
Many email providers support ‘plus addressing’ which is simply adding a plus symbol and then additional text.
This allows you to add a "+" symbol and any text before the @ symbol to create an alternative email.
How it works:
The main email:
[email protected]
Alias examples:
[email protected]
,[email protected]
All emails sent to these aliases will arrive in the user’s main inbox
Steps in PaySauce
If the email provider is one that supports plus addressing, you don’t need to set up anything special to do this. When adding the email for the PaySauce user, enter the email address followed by
+
and a unique identifierIf the email provider doesn’t support plus addressing, you’ll need to ask the user to create an email alias or provide an alternative email
We usually recommend +1 for easy reference, but you can use text as well
Tell the person their user name, which will include the + and additional reference
All emails (including password reset emails) will arrive in their regular inbox
The user needs to log in with the user account that was created in PaySauce, including the + symbol and anything following.
Example
My email address is [email protected]
This email is used for my PaySauce account for my employer, Busy Bee Company Limited.
I can use [email protected] to log into my account for Busy Bee Company Limited.
I also work for Cool Cat Company and require two employee accounts in PaySauce at the same time.
My user account in PaySauce for Cool Cat Company is [email protected].
I must log into PaySauce using [email protected] as the user account to access Cool Cat Company.

Example:
[email protected]
iCloud also allows you to create up to 3 proper email aliases (separate @icloud.com addresses). For detailed instructions, see Apple's official guide: Add and manage email aliases for iCloud Mail
Other email providers
While we’ve covered the most common email providers here, we haven’t given a full list.
The easiest way to work this out is to send a test email using the + option to the individual. If they receive the email, their provider supports plus addressing and you can use this method to create an employee account.
