Using the lieu leave type in PaySauce

Alternative public holidays are often referred to as lieu leave. This article is not about alternative public holidays for employees who work on a public holiday. If that's what you're looking for, you can find that here: Recording public holidays

Using lieu leave

Lieu leave is commonly used for 'time banking', where an employee might be granted an additional leave day as compensation for working extra hours. It is not to be used as an Alternative public holiday (gained automatically when an employee works on a public holiday).

Lieu days are sometimes referred to as 'TOIL' (Time off in Lieu).

Lieu leave is not normally paid out on termination (unless you have an agreement with your employee to do this). Lieu leave is a contractual term, not a legislated one, so your own agreement or company policy will determine this.

Adding lieu leave to an employee's balance can only be done when accessing PaySauce on the web (on your computer). Recording lieu taken can be done either on the web or on the PaySauce app.

Adding lieu leave to an employee's balance

There are two ways to add the Lieu leave into an employee’s balance:

Adding Lieu Earned during your pay run

In the Run a Pay area select the employee’s Enter Leave icon in their pay card.

  • In the Enter Leave screen, click the + button to add a new Leave line.

  • Select the Lieu Earned option from the drop-down leave menu.

  • Select the date on the calendar that is relevant for this Lieu earned day.

  • Enter the number of hours to be 'banked' or added to their balance.

  • Click the Ok button at the bottom of the Leave area, then click the Save button at the top of the window to save and exit the Leave area.

Adding the Lieu Earned hours to an employee's balance

  • Click the Employee icon, then select the name of the employee.

  • Select Balances in the employee settings (at the right hand side of the screen).

  • In the Accrued column click Lieu Leave.

  • Click the Edit pencil at the bottom of the Lieu Leave Adjustment area. This will open a dialogue box so you can record the hours you want to add, plus record a note for any relevant information.

  • Select Relative (in Type).

  • Enter the number of hours to be banked.

  • Enter a description so you can refer to this later.

  • Click the Ok button to complete the change.

The employee’s balance of Lieu hours gained will adjust immediately.

Taking lieu leave

When employees take their lieu leave this is the same as any other leave type. The employee can submit a leave request for the hours, or you can record it directly into the pay run.

You can add and take lieu hours in the same pay run if needed.

Enabling or disabling lieu leave

If you don't see the lieu leave option for your employee(s), this may be because it is not enabled. Lieu is often not available by default when we set up your account for you, unless you have requested it. This is because employers can often mis-use the lieu leave option, mistaking it for the alternative public holiday leave relating to public holidays.

  • To enable or disable lieu for individual employees:

  • Go to the Employees section and select the name of the employee

  • Click on the 'settings' tab then select 'leave' from the menu

  • Scroll down until you see the 'other leave' section. It should be set to yes.

  • You can check on lieu to enable it for this employee or check it off to disable lieu entries.

Lieu on payslips

You can disable or enable lieu leave for appearing on timesheets in your company settings.

  • Click on your company name in the top left to go to your company settings

  • Click on the 'settings' tab, then select 'general' on the left menu.

  • Scroll down to the 'payslip' section and either check on lieu leave (to allow it to appear on payslips) or check it off (to remove it from payslips).
