Reminder notes

Stay on top of important tasks and changes with reminder notes

Sometimes we need to make changes to employee settings, such as setting up deductions or changing rates: but we need to do it at a future date!

You can easily keep track of these required changes by using reminder notes in PaySauce.

Create a note

  1. Go to Employees and select the 'note' icon next to an employee's name in the list.

  2. Enter a title for the note and any details you want to record in the description field.

  3. Select the 'Requires action' checkbox. This means the note will appear on the relevant pay cycle.

  4. Select the date the note is due for - this can be any date in a future pay cycle.

  5. Click Ok.

View active notes

If you have multiple active notes and you'd like to view all of them at once:

  1. Go to your company settings by clicking on your company name in the top left.

  2. You have a task list on the left of your screen. Click on the filter icon in the top right corner of the task list to filter your tasks.

  3. Select 'all' for the due date range, then check the 'note' option to view only note tasks.

  4. All the current reminder notes will appear in a list.

  5. Click on the note heading to view the details. You can make changes to the note, and reset the reminder date if necessary.

Notes in your pay run

The purpose of the date field is to ensure the person processing payroll must view the note before closing the pay when the note becomes due (this is what the 'requires action' checkbox was for when creating the note).

There are two reminders for the notes in your pay run when they fall due.

  1. The note icon will appear inside an employee's pay card as a 'bell' symbol.

  2. If you calculate the pay, the employee's pay card will sit in the 'requires attention' state.

You can select the bell symbol in the employee's pay card. This will open the note and after checking the information and following the required steps, you can uncheck the 'Requires Action' box to deactivate the note.

If you want to move the note to a different date, you can change the due date then click ok to save the new date.

View closed notes

  1. Click the Employee's name in the Employee list.

  2. Click the Details tab, then select Notes from the menu.
