Payslips are automatically sent to employees when you close your pay if the setting is on to do so. Payslips are sent when you close your pay (not on pay day, if pay day is a different day to when you close your pay run).
To check:
Go to your company settings (by clicking on your company name in the top right).
Select the 'Settings' tab.
Scroll down until you see the email payslips option.
Select yes, and you can manage which employees you want to include.
Preview an employee's pay slip before pay close
If you want to check what an employee's payslip will look like before you close your pay, you can do this from the 'finalise' screen.
From the finalise screen, select the 'detail' tab.
Select the employee you want to view.
Click on the 'view payslip' button in the right hand corner - the icon looks like a page.
Adding notes to payslips
You can add notes to your employee payslips as needed - your employee will be able to see these, so don't put anything you wouldn't want them to read!
You can either add the same note to multiple employees or add notes to employees individually.
Add a note for multiple employees
In Run a Pay, click on the 'payslip note' view immediately under the processing tab. It looks like a speech bubble (second from the right).
Check the box next to the employee names for whom you would like to add a note.
Click the 'Add Payslip Notes' button, type your note, then click 'Ok'.
The same note will be added to all selected employees.
To edit the note, you can either check the employee's names again, click the 'Add Payslip Notes' button again and change the option at the top of the note window to 'replace' rather than add. Or, you can click on the pencil icon for each employee that you want to edit.
Add a note for a single employee
You can quickly add a note to a payslip for one employee by clicking on the payslip note icon on their pay card while the pay is in data entry.
The payslip note icon looks like a speech bubble and is on the top right corner of the payslip.
Resending payslips: employer
If you want to resend payslips to your employee after the period has already processed, you can can follow these instruction - alternatively your employee can download/send the payslips they need themselves via the PaySauce app.
Go to History, then select the month of the pay you want to send a payslip for. Recent months are across the top of the page, older months/years are listed in a drop down list from the top right.
Select the pay period that you want to send the payslip for.
Click the down arrow to the right of the page icon.
Select 'send payslips to employees'.
Check the employees that you want to send payslips to, then click Ok.
If you want to access the payslip for an employee for a pay period, you can access the PDF yourself:
Go to Employees
Click on the employee's name then select the 'Periods' tab
Select the pay period you want to view, then click on the page icon on the right hand side - this gives you a PDF payslip for that pay period.
Resending payslips: employee
Employees can access pay information on the PaySauce app, and for each period they can choose to email a payslip to themselves if needed.
View the relevant pay period in the app, and then tap on the envelope icon at the top right of the screen. You'll be prompted to confirm if you want to send, and the email that the payslip will be sent to will be confirmed.
